Team Stack — HIPAA-Compliant Continuity for Healthcare Practices

Designed coverage for seamless continuity.

When your VA is unexpectedly out, Team Stack keeps your front office running with three defined tiers that have HIPAA-compliant Just-in-Time access, managed end-to-end. Your dedicated VA could get sick, but your practice doesn't.

The Problem

Some staffing providers offer "backup." Few define what that actually means.

When a key team member is unexpectedly out, practices face the fallout — fast.

  • Missed calls and scheduling gaps
  • Stressed staff juggling work they weren't hired for
  • Frustrated patients noticing the slip in service
  • Disruption that quickly compounds into missed revenue
  • "Backup" promises that were never defined — so nobody can deliver on them
The Team Stack Difference

Dedicated VAs are the foundation. Team Stack is the insurance.

We do it differently. Every Team Stack service is structured, managed, trained, and intentionally designed. Not improvised. Not outsourced. Not pooled.

HIPAA-compliant by design

Compliance is the structure, not an afterthought bolted on at the edge.

Fully managed

End-to-end ownership of coverage — nothing improvised, nothing handed off.

Fully trained teams

Delivered by people certified through Snapscale University — never hired on-demand.

The Three Tiers

Three defined levels of coverage. Plus is the recommended middle.

Stabilization Coverage

Core

Included with a Healthcare VA engagement. Existing Snapscale VA clients only.

A safety net for the rare day off — short-term stabilization during an unexpected gap.

What's Included

  • Inbound call handling
  • Appointment confirmations
  • Message routing and escalation
  • EMR-literate navigation and note entry
  • Virtual front-desk stabilization
JIT credentials issued by the client, named workforce per event, minimum-necessary permissions, MFA where available, full audit trail. No standing or dormant accounts.
Full workflow ownership, complex scheduling logic, insurance plan modification, billing/payment work, clinical documentation, deep demographic corrections, authorization-heavy workflows.
Keeps your front door open — it doesn't replace your primary VA.
Shared Backup Coverage

Plus — Recommended

$799 / month. Existing Snapscale VA clients only.

For practices that need more than a safety net but don't yet require a full second seat.

What's Included

  • Shared, EMR-trained backup VA
  • Full task capability within your workflows
  • Priority routing, shared capacity
  • Familiar with your playbook before they're needed
  • Clean upgrade path to a full dedicated FTE
Pre-provisioned named user, fully permissioned within assigned workflows, persistent access.
Quarter-share, best-effort model. If multiple clients need coverage at the same time, support is shared and pace may slow. For zero-downtime needs, move to Premium.
Convert your Plus backup VA to a full-time exclusive role anytime — Snapscale trains a replacement.
Dedicated Redundancy

Premium

Second VA at a 10% discounted hourly rate. Available to all clients — not just existing VA engagements.

For zero-downtime operations: high-volume clinics, multi-location groups, or any practice that can't afford a single uncovered hour.

What's Included

  • Two fully trained, dedicated VAs
  • Same EMR alignment, same playbook, same standards
  • Built-in redundancy by design
  • Highest-priority coverage across the queue
  • Persistent access for both VAs
  • Zero single point of failure
Fully provisioned dedicated users, persistent access, full workflow alignment.
Easy downgrade with 30 days' notice. Billing stops once the VA is reassigned.
When Team Stack Activates — And When It Doesn't

Recommended for Team Stack.

Team Stack activates when:

  • Your primary VA is unexpectedly unavailable (sick day, emergency)
  • You request backup during a busy stretch or operational spike
  • Operational thresholds are triggered by volume or incident

Team Stack is not for:

  • Planned long-term leave (maternity, extended medical) — handled through paid coverage
  • Performance issues — handled by HR and Client Success
  • Chronic understaffing — that's a sign you need Plus or Premium, not a band-aid
Why Just-in-Time Access

The most important design decision is also the least visible: how we access your systems.

We chose Just-in-Time (JIT) access as the default — not because it's easier, but because it's the only model that stands up under HIPAA scrutiny, 2026 Security Rule expectations, and a real-world breach response.

The Minimum Necessary Standard

HIPAA requires every access to PHI be limited to the minimum necessary. Standing credentials violate this by design. JIT credentials are created at the start of a coverage event, scoped to only what's needed, and retired when it ends.

Dormant accounts

Credentials left provisioned after someone stops working on a practice are among the most commonly cited root causes in HIPAA breach reports. Under JIT, there are no dormant accounts to forget.

Audit defensibility

Shared logins make audit trails meaningless. Under JIT, every access event has one named workforce member, one business purpose, one approved permission set, and one auditable time window.

The JIT flow — four steps, every time.

1
Issued
2
Named
3
Scoped
4
Retired
Issued

Client creates unique credentials at coverage start. Snapscale holds no standing credentials into your systems.

Named

One cleared Snapscale workforce member is assigned and documented on both sides.

Scoped

Permissions limited to minimum-necessary for the task.

Retired

Access ends the moment coverage ends. Credentials disabled; audit record preserved.

Cutting edge is standard.

Designed for where HIPAA is going, not where it was. The 2026 Security Rule overhaul tightens the ground beneath every Business Associate — mandatory MFA, formal annual audits, 24-hour breach reporting, stricter Minimum Necessary enforcement. JIT is aligned with all of it.

Training & Compliance You Can Trust

Every offering is backed by Snapscale University.

Every team member delivering continuity coverage is trained, certified, and supported through Snapscale University — not hired on-demand, not outsourced, not pooled. Every agent in Team Stack has completed the full three-phase proving ground and earned their Snapscale University certification before they ever cover your clinic.
